Current and returning students
Book an open access room
If you need a quiet space for independent study or group work, you can book an open access room on campus.
Rooms are available when they are not being used for teaching and are allocated first come, first served depending on availability.
Request a room
To book a room, email: roombookings.culc@coventry.ac.uk
- Send your request in advance of when you need the room
- If you need a room within 24 hours, visit University House Reception in person.
What to include in your request
To avoid delays, include the following information in your email:
- Your full name
- Your student ID number (Phoenix card)
- Date of booking
- Start and end time
- Type of room (e.g. classroom, meeting room)
- Number of people attending
- Any equipment needed (e.g. screen or PowerPoint)
- Reason for booking (e.g. group work, presentation practice).
After you book
You’ll receive a confirmation email if your booking is successful.
On the day, you must:
- Show your confirmation at Reception (on your phone, laptop or printed)
- Without confirmation, access to the room may be refused
- Once confirmed, access will be added to your student ID card.
Using the room
Please make sure you:
- Finish on time so the next group can use the space
- Leave the room clean and tidy:
- Wipe whiteboards
- Dispose of rubbish
- Return furniture to its original position
- Turn off lights and equipment
- Close the door when you leave.
Specialist rooms
Rooms with specialist equipment are managed separately.
- Not all spaces are available for student use
- Booking may need to be arranged through technicians.

Book a Library huddle room
If you’re working in a small group, you can book a huddle room in the Library.
- For 3–8 people
- Book for up to 2 hours
- Maximum 3 bookings per week.
