International Talent Team

How to apply

Email us at the International Talent Team at to tell us you have secured a placement. Please provide us with as much detail as possible, including the name of the company, the proposed dates of your internship and any other information you think may be useful.

You’ll then need to complete an application form via InPlace including the self-placement assessment part, which your academic tutor or course director must sign off. Please complete this form correctly and with as much information as possible, as we can reject your application if it doesn’t have the information we need.

Once you have submitted your application to us, we will confirm whether you have given us the information we need. We will send two emails:

  • one to you, containing further documents that you will need to complete and return to us as part of your application
  • one to the placement employer, with documents they are required to complete and return to us.

We will consider your application once we have received all of the information.

You can find the relevant documents for your placement below. Please read these documents thoroughly and give us accurate information to avoid delays in your placement process. You must complete all the documentation, except the Grant Agreement, before your placement begins.

Proof of flights and insurance

This is required in order to receive funding for the placement.

Erasmus Learning Agreement

This document outlines important information regarding the placement. It must be completed in full and signed by the employer and then signed by you, the student.

Employer Health and Safety Form

This form must be completed in full and signed by the employer. It ensures the company will take full responsibility for your health and safety whilst on placement.

Student Medical Form

You should complete this form if you have any pre-existing medical conditions. The International Talent Team can then ensure your employer makes reasonable adjustments for your placement.

Arrival Form

This document is proof that your internship has begun. It must be signed and stamped by the company responsible for your placement.

Departure Form

This document is proof that your internship has ended. I t must be signed and stamped by the company responsible for your placement.

Grant Agreement

This document details the amount of funding you will receive and the conditions you have agreed to. It must be signed by you, the student.

International Placement Learning Agreement

This document is proof that your internship has begun. It must be signed and stamped by the company responsible for your placement.

Erasmus funding

The Erasmus Grant for eligible placements in Europe is allocated from the EU Commission Funds. The grant is based on the dates and destination of your placement and is subject to you providing the required documentation. It is paid in two instalments via Western Union Business Solutions.

The Erasmus Grant is calculated based on the official dates shown on the signed individual Arrival and Departure form, using our National Agencies online calculator. This means that not every student will receive the same amount.

How is the Erasmus Grant paid?

The Erasmus Grant is paid in two instalments, subject to you providing the correct documents. You will need to take your Arrival Form and Learning Agreement to the host partner and get it signed and stamped. You should send scanned copies of the documents to: ii.talentteam@coventry.ac.uk. We will also accept electronic copies.

The amount you receive will depend on the duration and destination of your placement and will differ for each student.

Payment One

Once we have received a signed copy of your Arrival Form and Erasmus Learning Agreement from the placement host, you’ll receive 70% of your Erasmus Grant. It can take up to 15 days to receive your grant.

Payment Two

The second instalment of your Erasmus Grant will be paid to you once your placement has ended and the Form has been sent to the International Talent Team. You must also complete the British Council Participation Survey to ensure you receive your remaining payment.

Your grant will be recalculated according to the actual start and completion dates of the placement. Final payments will then be made.

Please note: If you do not complete the full placement, you may need to return part of the Erasmus Grant you have received.
