Look After Your Access

Many problems can be caused by being careless with your IT Account details.

This can range from unauthorised persons accessing and using your account (i.e. people who have no connection with the University) through to matters that might have to be placed into the hands of the Authorities.

We know this to be the case as we have had to deal with such issues in the past.

For example, if your account was to be used by some unscrupulous person, or persons, for illegal purposes, this could reflect badly upon you and at best might involve you in having to answer difficult questions about things that you were unaware of. At worst, you could find yourself being held accountable for the misuse.

Access to your account is only as secure as your password.

If you use a 'weak password' which can be easily guessed (e.g. birth-date, loved one's name, pet's name etc), or you write your password down and leave it easy for people to find, or you if simply tell others what it is or let them see you typing the password in, then you are exposed and can easily become a victim of misuse or even a crime.

Treat your password as you would your Bank PIN - Keep It Secure.

Protect Yourself

•You will have a personal user id and password – protect your password as you would a key to your home or your Bank PIN.

•Accounts are are supplied for personal use, and your password should not  be divulged to any other person (whether a member of the University or not).

•Where Faculties/Schools or Services manage a number of ‘generic’ logon ID’s for specific tasks it is the responsibility of that Unit to manage the use of these and keep them secure.

•No password is to be stored in data, software or function keys (i.e. F1-F12), or written down. Where administration passwords have to be recorded for Disaster Recovery purposes they must be kept secure.

•You are advised to change your passwords at least every 3 months

•Do NOT leave a PC logged into your account and unattended - remember to log out when you have finished

•Lastly Change your password if you think it has been compromised; you can do it from here (see below).

It should be borne in mind that giving your user id and password for your University system to a friend or acquaintance, who is not an authorised user, could result in a court appearance, should a complaint be made to the police by the University…
